Custom Workflow Scenarios

General Scenario:

Your institution had a custom media player created several years ago; it works well for your internal purposes but has not kept up to date with the latest caption file conventions. The caption file required for your project (usually an XML file) does seem to match most current caption files out there (SRT, WebVTT, SAMI, SCC) and attempts to import captions from new sources are not successful.[read more=”Read More” less=”Read Less”]

Solution 1:

Open Caption videos, which have the captions permanently burned onto each frame in the video, are a great option for making sure accessibility standards are met regardless of the media player. The captions are always displayed and can be placed below the video (our standard) or on top of the video.

If you’d like your viewers to be able to turn on/off the captions, the following solution would be necessary.

Solution 2:

We examine caption files that have worked successfully with your media player, attempt to duplicate them using our internal processes, and test the resulting file(s) with your player until we have a working version. We will save that specialized format and use it on all future projects.

General Scenario:

Your company or institution has a website, media platform, or learning management system (LMS) with many videos that require captioning. You want your users to submit media easily to be transcribed or captioned.

Specific Situation:

The client records a weekly webinar. Each participant records their own part individually; the final video is compiled and edited by one person. The media is made available after-hours (between 8 and 11 pm ET) and the captions need to be completed before the webinar is released the following morning.

The usual turnaround for Rush projects is 24 hours or less, but this project required the deliverable in 12 hours or less from the submission of the media.[read more=”Read More” less=”Read Less”]


A dedicated captioning team is assigned to this weekly project. If we receive the file Monday night, we will deliver the caption file by 8 am ET Tuesday morning.

Specific Situation:

A pharmaceutical company wants to make its quarterly meetings accessible to its employees around the globe. It provides a video of the meeting along with a transcript and translations in six languages.  [read more=”Read More” less=”Read Less”]


Using our entirely human-based transcription-alignment process, a caption file from the English transcript is created. Then for each language the translation is entered alongside the English ensuring both appear at the appropriate time. Instead of exporting seven individual caption files, a single file is exported which includes all the proper “tags” so the client’s media player can recognize and display each translation based on user selection.

Closed captions allow the viewer to turn the captioning on and off. Closed captions can be video-player specific,and may require multiple captioning file formats. Open captions are typically embedded below the video frame and are always seen by the viewer. Open captions are not video-player specific.

If a captioning file is provided, it will need to be manually uploaded to a video player, which takes additional time and requires some technical proficiency. Videos with embedded captioning are immediately available for professor and student use.

Accuracy + Time = Cost. Accuracy rate (the higher the percentage, the higher the cost) and turnaround time (the shorter the turnaround time, the higher the cost). FYI –captioning your videos before the semester begins will help to save time and reduce costs.

98% accuracy is usually considered to be the minimum target rate for realtime captioning.Increasing the accuracy level to 99% or higher usually requires additional editing and will increase your cost.
